Please complete this form if you want access to our reservation system after reading the below Meeting Room Agreement Form. Within three days of submitting this form, you will be emailed access to our online reservation system (Skedda).

A site visit is required for all first-time groups to go over the details of room use.

 

Flintridge Center Meeting Room Agreement

GUIDELINES FOR USE:

In order to maintain accessibility for all groups, we ask that you adhere to these guidelines and stipulations. If guidelines are not met, we will regretfully require payment of a $200 deposit for all future meetings.

  • We request that your group’s contact person (the person who participated in the site visit) be present during the entire meeting.
  • The rooms are for professional purposes only — not weddings, social events, etc.
  • Your group is responsible for cleaning up after the meeting and putting the room back to standard setup.
  • Your group is responsible for operating the technology equipment to be used. (Please arrange for a tutorial prior to the meeting.)
  • Please be sure to take your group’s trash to the dumpster outside.

Please, please observe these procedures and protocols:

  • No posting of signs or use of tape or other adhesives on any building surfaces.
  • No taping items to the walls, or writing on papers attached to walls. Use the moveable white boards provided.
  • No decorations that may damage the walls or furniture.
  • No confetti.
  • No pets, with the exception of service animals.
  • No leaving the suite door open, other than when participants arrive and depart.

The entity signing this contract agrees to indemnify, defend, and hold Flintridge Center, its affiliates, officers, directors, employees, agents and representatives harmless from any liabilities, costs, penalties, or expenses arising out of and/or resulting from the rental and use of Flintridge Center’s meeting space.

STIPULATIONS FOR USE OF RENTAL SPACE:

  1. Rental spaces are available to individuals and groups within the community on an equitable basis.
  2. Flintridge Center reserves the right to preempt any rental space for a Flintridge Center or Flintridge Center-sponsored event. In such circumstances, Flintridge Center will put forth reasonable effort to give ample advance notice of such preemption and to assist the group in reserving another date or rental space.
  3. Flintridge Center does not endorse the beliefs or viewpoints of topics which may be the subject of meetings or events taking place in rental spaces, whether Flintridge-initiated or sponsored by an individual or group from within the community.
  4. Meetings or events may not include defaming or obscene materials as defined by the United States Supreme Court, or materials which could lead to a breach of peace or which advocate the violation of state criminal laws.
  5. It is not the intent that this space be used as advertising space for commercial enterprises or political candidates. Rental space may not be used to sell anything.
  6. Under no circumstances may individuals or groups utilize Flintridge Center’s name, logo, or other branding materials on meetings or events occurring in rental spaces, unless given prior written approval; this includes event communications and promotional materials.
